Business Expenses
The University will reimburse staff and faculty for eligible expenditures made while conducting University business. A business expense is termed as “An expenditure incurred by staff or faculty while conducting University business which is authorized by a supervisor with financial authority prior to the expense being incurred”. Business expenditures must be reasonable and appropriate and support the mission of the University.
Students are not authorized to incur expenditures on behalf of the University and should check with the Office of Student Affairs for further information on management of expenses on service learning and other University sponsored trips.
To claim reimbursement, staff and faculty should complete a Business Reimbursement Form and submit this form along with original invoice or receipt to Business Services Manager (Aimee Unger) at SFS-Qatar Finance Office for processing. If the expenditure was incurred using a credit card, it is important to attach the credit card receipt along with the original invoice for payment. The University does not accept copies of invoices or receipts and any exception should be referred to the SFS-Qatar Controller. The reimbursement documentation needs to be approved by your supervisor prior to submission to the Finance Office.
If the reimbursement documentation is submitted to the Finance Office prior to the 15th of the month, you will be paid along with your salary by the end of the same month. If received after 15th, the payment will be made at the end of the next month along with your monthly salary.
